We're looking for a detail-oriented Accounts Representative to join our Mumbai team. You'll be the operational backbone of our finance function managing invoicing, collections, payroll, and vendor payments while keeping our accounts compliant and well-organised. You'll work closely with our internal teams and coordinate with our CA to ensure smooth tax filings and accounts finalisation. Equally important is your ability to follow and enforce established financial processes we expect this person to be the custodian of our systems, not just a user of them.
Responsibilities
Client Accounts & Collections
Own the end-to-end client onboarding process — setting up accounts, coordinating documentation, and ensuring all records are accurate from day one
Manage invoicing cycles on Zoho Books — raising invoices, tracking payment status, and following up on outstanding dues
Flag and escalate payment delays or irregularities in a timely manner
Payroll & Vendor Payments
Process monthly salaries accurately and on time
Handle vendor payments — verifying invoices, coordinating approvals, and ensuring timely disbursement
Maintain clean records of all outgoing payments for reconciliation
Compliance & CA Coordination
Act as the primary internal point of contact for the company CA
Provide necessary documentation and data for GST filings, TDS, advance tax, and annual accounts finalisation
Ensure all financial records are audit-ready and up to date at all times
Systems & Process Enforcement
Implement and actively enforce the financial systems, workflows, and SOPs set by the organisation
Identify gaps or lapses in process adherence and flag them proactively
Maintain organised, up-to-date records in Zoho Books, Excel, and Google Sheets
Requirements
1–3 years of experience in accounts, billing, or a similar finance operations role
Hands-on working knowledge of Zoho Books
Familiarity with GST, TDS, and basic compliance requirements
Comfortable with Excel and Google Sheets for tracking and reporting
Clear, professional communication over email and WhatsApp
High attention to detail, strong follow-through, and a process-first mindset
Ability to work independently and take ownership within a small team
