Job Role
- Custodians of Laboratory’s operational policies, procedures, and related documentation – research, develop, publish, communicate, and manage content in designated content repositories, both local and global.
- Assistance in standardization of business systems and process enhancements. Source of technical information for staff and management.
- Assistance in audits as per business needs – internal and external.
- Assistance in large-scale documentation and implementation/integration projects.
Essential Duties:
Content Development and Management:
Textual Content:
- Researches, develops, and documents new or updated policies and procedures (documented information) in accordance with its defined guidelines and design and through interactions with POCs, SMEs, and management.
- Facilitates technical discussions with SMEs and management and assists in researching the context and historical information to arrive at policy and procedural decisions.
- Publishes the documented information to the manuals and/or respective repositories, and communicates clearly and accurately to appropriate staff across all functional areas.
- Facilitates periodic reviews of existing documented information to assure relevancy, effectiveness, and technical accuracy through interactions with SMEs, POCs, and management.
- Maintains manuals and other content repositories, and performs basic troubleshooting for manuals (e.g., corrects typos, fixes broken links, etc.), software, processes, databases, and other content repositories.
- Maintains quality records and implements document control procedures as per business needs.
- Responsible for reviewing and publishing GIA India’s Laboratory Management System (LMS) documentations and establishing and maintaining controls of the documentations and master lists in alignment with the requirements of ISO/IEC 17025:2017 standard.
Graphic Content:
- Creates, uploads, and manages digital images.
- Creates, uploads, and routinely maintains interactive forms and graphics (workflows, charts, animations, photos, inscriptions and plotting diagrams).
- Performs basic troubleshooting software applications, processes, databases, and repositories of graphics and digital images.
Project Management:
- Assists with research, development, management and implementation/integration of large-scale and small-scale projects.
- Consistently meets timelines for completing projects as assigned.
- Routinely manages and maintains all documented information pertaining to the projects in relevant repositories.
Liaison between Technical Operations teams and Support functions:
- Applies in-depth knowledge of policies and procedures in providing clarification, guidance, and rendering opinions on technical queries from staff and management.
- Use professional judgment to select best course of action from defined procedures using specialized knowledge and experience of similar situations; assist other colleagues with technical consultations.
Other roles:
- Performs other duties as assigned or per business needs (e.g., assists in managing process audits, accreditation audits, etc.).
- Perform job with guidance from defined procedures/guidelines; complete tasks through application of in-depth technical and procedural knowledge of many different varied processes and methods.
- Work independently under limited supervision, or in a team environment.
Qualification & experience:
Education:
- Bachelor’s degree with advanced proficiency in English language required.
- Bachelor’s degree with major in English, Journalism, Earth Science, or Quality Management or equivalent certified educational diplomas in writing from accredited and universally recognized institutions preferred.
- Software certifications (e.g., MS Office, Visio, Adobe Photoshop and Illustrator, RoboHelp, Project Management tools – Jira and Confluence, etc.) or equivalent experience preferred.
Experience:
External candidates:
- 1 or more years of work experience or equivalent certified trainings completed in writing roles such as Technical Content Writer, Content Developer, Content Manager, etc. in fields of journalism, quality management, earth sciences, etc. required.
Key Skills:
Technical Writing & Communication:
- English Comprehension: Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, grammar, and punctuation.
- Documentation skills: Overall awareness of business writing especially with documenting technical content for an audience belonging to varied language backgrounds and proficiencies. Knowledge of GIA’s Business preferred.
- Communication skills: Proficient in written and verbal communication as appropriate for the needs of the audience. Ability to develop professional written communications in a clear, concise, and accurate manner for various audiences.
Software skills: Intermediate proficiency in MS Office (Excel, Word, PowerPoint, and Visio), Adobe Creative Cloud (Photoshop, Illustrator), publishing software (e.g., RoboHelp) and project management software (Jira and Confluence).
