Chain N Chains Jewels Ltd. is looking for a highly experienced Senior Order Processor – Team Leader to lead its Order Processing function and ensure smooth execution of customer orders from order confirmation through final dispatch. This leadership role requires extensive experience in B2B jewellery manufacturing, strong operational expertise, and the ability to manage a team while coordinating seamlessly with Sales, Production, CAD, Merchandising, Planning, Dispatch, Accounts, and IT.
The ideal candidate will drive operational excellence, improve workflows, mentor team members, ensure customer satisfaction, and support digital initiatives by coordinating closely with the ERP and IT teams.
Responsibilities
Team Leadership & People Management
Lead, supervise, and mentor the Order Processing team to ensure efficient daily operations.
Allocate work based on priorities and monitor team productivity.
Review team performance and provide regular coaching and feedback.
Train new employees on order processing procedures, ERP systems, and company SOPs.
Foster a collaborative, customer-focused, and performance-driven work environment.
Order Processing & Customer Order Management
Review and approve customer orders before they move into production.
Ensure accurate processing of quotations, sales orders, and order confirmations.
Verify product specifications, pricing, quantities, delivery schedules, and customer requirements.
Monitor the complete order lifecycle from enquiry to final dispatch.
Ensure timely execution of high-priority and export orders.
Minimize processing errors through thorough verification and quality checks.
Cross-Functional Coordination
Coordinate with Sales, Production, CAD, Merchandising, Planning, Dispatch, Accounts, and Quality teams.
Ensure production schedules align with customer commitments.
Resolve inter-departmental issues affecting order execution.
Follow up on pending approvals and production milestones.
Ensure seamless communication between all stakeholders throughout the order cycle.
Customer Relationship Management
Act as the primary escalation point for critical customer requirements.
Communicate proactively with clients regarding order status, delays, revisions, and dispatch schedules.
Resolve customer complaints and order-related issues promptly.
Maintain strong professional relationships with key B2B clients.
Operations Management
Monitor daily order volumes and prioritize work effectively.
Ensure adherence to company SOPs and quality standards.
Optimize workflow for maximum operational efficiency.
Monitor turnaround time (TAT) and ensure on-time deliveries.
Identify operational risks and implement preventive measures.
ERP & Data Management
Maintain accurate customer order records within ERP systems.
Ensure timely updating of order status and production progress.
Verify data accuracy across ERP, Excel trackers, and operational reports.
Monitor order ageing and pending orders.
Maintain complete documentation for audit and compliance purposes.
MIS & Reporting
Generate daily, weekly, and monthly MIS reports.
Track key operational KPIs including order status, production timelines, dispatch performance, and team productivity.
Prepare management dashboards and operational summaries.
Analyze reports to identify trends and recommend improvements.
IT & Process Coordination
Understand complete ERP workflows and business processes.
Troubleshoot basic ERP, software, printer, and hardware issues before escalating to IT.
Coordinate with the IT team for software enhancements and issue resolution.
Support ERP upgrades, testing, and implementation of new modules.
Ensure proper system usage across the operations team.
Maintain data accuracy, backups, and digital documentation.
Identify automation opportunities to improve operational efficiency.
Process Improvement
Review existing workflows and identify operational bottlenecks.
Recommend improvements for faster order processing and better customer service.
Standardize documentation and operational procedures.
Drive continuous improvement initiatives across the Order Processing department.
Support digital transformation and process automation projects.
Requirements
5–8 years of experience in B2B Jewellery Order Processing or Operations.
Previous experience leading an Order Processing or Operations team is mandatory.
Strong understanding of jewellery manufacturing processes and order lifecycle.
Hands-on experience in ERP software and operational systems.
Advanced knowledge of Microsoft Excel (Pivot Tables, VLOOKUP, MIS Reporting).
Strong leadership and people management skills.
Excellent communication and stakeholder management abilities.
Strong analytical thinking and problem-solving capabilities.
Experience handling high-volume customer orders with exceptional accuracy.
Ability to work under pressure and manage multiple priorities.
Education Requirements
Graduate in Commerce, Business Administration, Operations, or any relevant discipline preferred.
HSC (12th Pass) or Diploma candidates with significant jewellery industry experience may also be considered.
Additional certification in ERP Systems, Operations Management, Supply Chain, or Business Process Management will be an added advantage.
